1. Acceptance of Terms

By accessing or using the website and services of Plenexia Outsourcing India Private Limited ("Plenexia," "we," "us," or "our"), you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use our website or services.

2. Services Description

Plenexia provides accounting and bookkeeping outsourcing services including but not limited to: general accounting, bookkeeping, accounts payable and receivable management, payroll processing, tax preparation, financial reporting, accounts reconciliation, and virtual CFO services. Specific service scope, deliverables, and timelines are defined in individual service agreements with each client.

3. Service Agreements

All outsourcing engagements are governed by separate Service Level Agreements (SLAs) that detail the scope of work, deliverables, timelines, pricing, and termination conditions. These SLAs, along with any associated Non-Disclosure Agreements (NDAs), take precedence over these general terms where applicable.

4. Client Responsibilities

As a client, you agree to:

  • Provide accurate and complete information necessary for us to perform services
  • Grant appropriate access to accounting software and systems as needed
  • Review and approve deliverables within agreed timelines
  • Make timely payments as outlined in your service agreement
  • Maintain appropriate licenses for software and tools used in the engagement

5. Confidentiality

We treat all client data as strictly confidential. All team members sign individual NDAs. We implement enterprise-grade security measures including encrypted VPN connections, role-based access controls, and regular security audits. We will not disclose client information to third parties except as required by law or with explicit client consent.

6. Pricing and Payment

Pricing for our services is outlined in individual service agreements. Standard plans are billed monthly in advance. Custom engagements may have different billing arrangements as specified in the SLA. Late payments may incur a fee as outlined in the service agreement. Prices are subject to change with 30 days written notice.

7. Quality Assurance

We maintain a multi-tier quality assurance process for all deliverables. If you are not satisfied with the quality of work delivered, please notify your account manager within 5 business days of delivery. We will review and rework the deliverable at no additional cost. Our goal is to maintain a 99.9% accuracy rate across all engagements.

8. Termination

Either party may terminate a service engagement with 30 days written notice. There are no early termination fees unless otherwise specified in the service agreement. Upon termination, we will securely transfer all data back to the client and permanently delete all copies from our systems, providing a formal data destruction certificate.

9. Limitation of Liability

While we strive for accuracy in all our work, Plenexia's liability for any errors or omissions shall be limited to the fees paid for the specific service in which the error occurred. We are not liable for indirect, incidental, or consequential damages. Clients are responsible for reviewing and approving all deliverables before use.

10. Intellectual Property

All content on our website, including text, graphics, logos, and images, is the property of Plenexia Outsourcing India Private Limited and is protected by applicable intellectual property laws. Work product created for clients during service engagements belongs to the client upon payment.

11. Website Use

You may use our website for lawful purposes only. You agree not to use our website in any way that could damage, disable, or impair it, or interfere with any other party's use. The information on our website is provided for general informational purposes and does not constitute professional accounting or financial advice.

12. Governing Law

These Terms of Service shall be governed by and construed in accordance with the laws of India. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts in Bengaluru, Karnataka, India, unless otherwise agreed upon in the service agreement.

13. Changes to Terms

We reserve the right to modify these Terms of Service at any time. Changes will be posted on this page with an updated revision date. Continued use of our website or services after changes constitutes acceptance of the modified terms.
